Overview

This tutorial introduces how to create a message that contains both plain text and HTML formats. This type of message will be very useful when some of the email clients do not have the functionality to view HTML Email messages and can read text only messages.

Now, we will introduce you how to create this type of message by starting to create a HTML message from GroupMail. If you have created the HTML file already, you can go to step 5 to see how to create a plain text message and then combine it with your HTML file
 

Step 1: Launch a Message Editor

To launch the editor, start the GroupMail and then click on 'Create a New Message' as shown in Figure 1.

Step 2: Create a HTML Message

We can create a HTML message now but make sure the message editor is in 'Rich Text (HTML)' mode. This mode can be changed by selecting the value of the list box from the toolbar of the Message Editor window as shown in Figure 2.

Now, we can start to edit the subject and the body of the message.

Step 3: Preview the HTML Message

After we finished editing the HTML message, click on the 'Preview' tab to preview this message. This tab is on the bottom of the Message Editor window.

Then, click on 'Preview Message' button. This will let us to preview this HTML message. To edit this message again, click on the 'Edit Message' tab on the bottom of the Message Editor window. It will bring you back to your message content.

Step 4: Save the HTML Message

To save this message,  select 'File' menu from the menu bar of the Message Editor window. Then select 'Save As' and click on 'A Document' button as shown in Figure 5.

Now, we can specify the name and location to save this HTML message but make sure we have to change the 'Save as type:' into 'HTML Documents (*.htm; *.html)' by selecting from the list box as shown in Figure 6.

Step 5: Create a Plain Text Message

After saving the HTML message, we have to change this message editor into 'Plain Text' mode. By doing this, select the 'Plain Text' from the list box of the toolbar as shown in Figure 7.

Then click on 'Yes' button to allow the editor to change the format of the message as shown in Figure 8.

Now, you can edit this message again or select 'Preview' tab on the bottom of the Message Editor to preview the message if you want.

Step 6: Combine the Plain Text Message with the HTML Message

The last step is to combine the Plain Text message with the HTML message.

First, click on 'Select' button to locate the HTML file that we have created or the one that you have already. Then, we can preview, save or send this message.

To save this message, select 'File' menu from the menu bar of the Message Editor window. Then select 'Save' or 'Save As' button.
